The following terms and conditions apply to the John Giller Drama and Theatre Academy (referred to hereinafter as ‘JGDATA’) and are for drama sessions given to students, applied for and consented to by the parent, carer or guardian of the child aged 6 to 17 years and for all adults attending as a student aged 18 years and over. (Both children and adults who attend JGDATA for drama sessions are referred to hereinafter as ‘student’). Changes to these terms and conditions require the written consent of JGDATA.
Session Times and Fees
Session times and fees are shown on our website, plus they are shown on the ‘Fee Invoice’
All students are offered one FREE session as a taster to ensure they want to be part of JGDATA before any financial commitment. (The FREE session can only be used once and must be used on the first visit. It can NOT be carried over or used again if a student re-joins after leaving. Students MUST have a completed ‘Student Application Form’ for the FREE taster session.)
Once a Student’s application is received by JGDATA and they have attended their first (and only) free session, fees are payable in full prior to starting the next session. An invoice will be sent to the email address stated on the application form. (Fees are for one ‘JGDATA Term’ or part thereof if joining mid term.)
A Student’s place is not confirmed until the fees are paid in full and a ‘JGDATA Welcome Pack’ has been issued via email. (A printed copy is available on request.) This email contains a ‘Student Place Confirmation Letter’ together with all relevant information.
Fees are reviewed annually.
JGDATA reserves the right to make changes to the timetable and to the teaching staff.
The ‘JGDATA Welcome Pack’ and ‘Student Place Confirmation Letter’ is written confirmation that a student has been allocated a place and establishes a contract for the provision of teaching services.
JGDATA will assume students are continuing to the next term and will be issued an invoice with full payment of fees to ensure a continued place. Any student who does not wish to continue needs to confirm this with JGDATA and may lose their place to a new student from our waiting list.
All fees paid for sessions with JGDATA are non-returnable.
No refund of fees is possible for absence through illness, absence for holidays, absence for school trips or for any other cause or reason for absence, and fees paid can NOT be carried over to the following term. Please do not ask for a reduction in fees due to absence, either prior or after payment - however if you are struggling to pay your fees please do speak to us so we can help.
Payment Methods
Online Electronic Bank Transfer - This is the preferred option.
An invoices will be sent via email (to the email address stated on the application form) for all methods of payment. (Please see section above ‘Session Times and Fees.’) All payment details are on the invoice.
Cash – Please ensure cash payments are made in an envelope clearly labelled with the Student’s name and which session time they are attending.
Cheques are no longer accepted.
Cancellation
JGDATA does NOT credit sessions cancelled or unattended by students: this applies to group and individual sessions. (Please see section above ‘Times and Fees’.)
If JGDATA has to cancel a session for any reason, a full refund will be given for that session. JGDATA will only cancel a session as a last resort and may, on occasion, have to use a different teacher to cover a session. This will not affect the quality or direction of the session.
Uniform
All students must wear comfortable appropriate clothing, such as T-shirt and jogging bottoms.
For safety reasons jewellery must be removed before taking part. JGDATA recommends leaving any valuables at home as we have nowhere to lock them away for safe keeping and we hold no responsibility or liability to lost, stolen or damaged belongings or possessions.
Footwear
Students must wear appropriate footwear for drama classes, such as trainers or flat shoes. (Jazz shoes may also be worn and are safe and easy to move in and are industry standard for drama and dance classes, but are not compulsory.)
*** On NO occasion are Sandals, Crocs, Flip-Flops or any Open Toed Shoes allowed to be worn during drama sessions. ***
Behaviour and Discipline
JGDATA uses a system for behaviour to ensure there is good discipline at all times. If a student is found to be disruptive they will be given a warning (at the end of the session the person collecting the disruptive student will be informed of the behaviour. An email will also be sent as confirmation of the disruptive behaviour.) This information will be kept on record and if any student is given three such warnings within a term they will be asked to leave JGDATA. This situation is very rare as the team in JGDATA are very professional and experienced. They are also extremely reasonable in their approach to achieving a professional, inspiring, safe and fun filled working environment for our students.
JGDATA reserves the right to exclude students from sessions at its discretion.
Student Safety and Protection
JGDATA use School Halls, Church Halls and Village Halls for their morning, afternoon and evening club venues. The main doors are opened 10 minutes before each session to allow students, parents, carer and guardians access. Please arrive on time as Students that are late for a session must telephone the JGDATA contact number to inform the teacher leading the session, who will then unlock the door at a convenient time, which may NOT be straight away.
When collecting Students, again the main doors will be unlocked and opened for 10 minutes.
No student (under 18 years of age) will be allowed out of the building unsupervised so please come into the waiting area to collect your child. JGDATA restricts its liability to session times only and as such parents, carers and guardians must ensure that children are collected from the waiting area promptly.
All JGDATA staff are CRB checked. John Giller, being a fully qualified teacher, also has an Enhanced CRB.
Students participate at their own risk and must inform JGDATA staff of any existing injuries or medical condition at the start of every and all sessions.
The liability of JGDATA and that of its staff is restricted to session time only and then only to gross negligence.
Photography and Website
JGDATA reserves the right to use photographs taken of all students past and present in sessions and in productions on publicity materials such as our website, the newspaper, JGDATA facebook page and leaflets etc.
Data Protection (GDPR)
Any personal information provided to JGDATA will be "processed" (as such terms are defined in the GDPR 2018) by JGDATA for the purposes of administration, research, the provision of teaching services in drama, the organisation of performances and for the administration of JGDATA’s statutory obligations under legislation relating to children - which includes using your information for performance licences from Local Authorities.
JGDATA will not disclose any information to third parties for marketing purposes.
By submitting a ‘Student Application Form’ to JGDATA you are deemed to consent to the use of such Personal Data for the above purposes.
NB. All data is held securely for the length of time a student is actively registered with JGDATA. If a student leaves JGDATA, their information is held until the end of the academic year (this is because on some occasions students return to JGDATA to continue) however, if a student does not returned by the end of the academic year ALL data for that student is deleted from our system. This means that if a student wishes to return to JGDATA in the future they will need to complete a new application form.
TO BE CLEAR
Your telephone numbers - JGDATA uses the telephone numbers you entered on the application form to contact you via voice or text message in the case of an emergency in the session (if your child is poorly or unwell) or prior to a session if it is cancelled. Or to send you information relating to JGDATA.
Your email address - JGDATA uses the email address you entered on the application form for all correspondence relating to JGDATA. (Session information, invoices, performance information, uniform etc.)
Student's address, date of birth and school – JGDATA uses the student's address, date of birth and school information when applying for a performance license. By law all children must be licensed with a local authority (JGDATA uses Norfolk County Council) to perform on stage. This is part of child protection and child welfare and a legal contract.
